Leading global Investment Bank is seeking an junior Team assistant to support one of their for their Investment Banking teams in Sydney. 

The role is an initiallly 12 month contract with a very good chance of going permanent for strong performers.

Candidates wil have some prior experience working in an Office Administration, PA or Team Assistant role within another leading bank, fund manager, private equity or similar professional services firm.

Responsibilities:

The duties of the role include:
• Calendar management, including coordinating client and internal meetings, calls, Zoom meetings (including across time-zones and global offices)
• Maintain team calendars including client meetings and contact information in Salesforce
• Answering phone calls and emails, relaying information in a timely and accurate manner
• Travel – book flights and accommodation for team, including knowledge and awareness of banker and relevant client activities and travel policy guidelines
• Processing expense reports for bankers (Concur) within strict deadlines
• Client entertainment – organise ad hoc client lunches and dinners; work with Events team and bankers to invite clients to events
• Coordinating room bookings for client meetings and lunches and liaising with catering manager when required
• Taking on ad hoc tasks while maintaining workflow
• Supporting bankers with day to day issues, needs and queries
• Providing coverage for EA colleagues during breaks and holidays
• Actively foster a cohesive work environment within the EA team in the A/NZ region (Sydney, Melbourne, Perth, Auckland)

Hours of Work
• Monday to Friday 9:00am to 5:30pm (1 hour lunch break)
• Flexibility outside these hours is essential.

Qualifications / Experience Required

• Must be able to work proactively in a fast-paced and demanding environment and have the ability to prioritise to multi-task and manage a busy workload
• Highly organised with strong attention to detail and an ability to manage multiple tasks and deliver quality results
• Display a consistent, professional degree of communication skills in person, on phone, via Zoom and by email at various levels
• Excellent Microsoft Outlook skills, including fast and accurate keyboard skills
• Enjoy working with various technology systems (eg expenses, travel, in-house systems – training provided)

• Exhibit highest standards of professionalism and maturity and the ability to bring ideas and experience to tasks
• Proactive, punctual, reliable and a team player – together with a willingness to help other members of the EA team, and works well under pressure within a changing environment
• Comfortable working with people at all organizational levels, internally and externally
• Flexible and adaptable to work and support across multiple teams
• Be resourceful and able to use own initiative in solving issues
• The ability to maintain confidentiality and discretion at all times
• Friendly, polite and approachable with a can-do attitude with a willingness to help other members of the EA team
