Our client is a leading global Investment Bank. They are seeking an experienced EA to support theri equity Trading Teams workign iont the tradign floor.

This role is to provide diverse, advanced and confidential administrative support to their Institutional Equities Division (IED). This comprised of the Head of IED Australia and 35 bankers (Research Sales, Sales Traders, Prime Brokerage, Derivatives Trading and SWAPS team)

The ideal candidates will have 5 + years relevant EA or TA experience, ideally coming from Investment Bank, Funds Management or similar trading financial services firms

WORK HOURS: 7am- 3pm every day – except Wednesdays where it is 7am- 5pm (with paid overtime)

The role will be based in the office on the trading floor 5 days a week

Responsibilities:

  • High touch calendar management; coordinating and scheduling internal and external meetings, including time zone management
  • Considerable scheduling of (international and) domestic travel, including all on ground logistics
  • Complex expense processing using concur
  • Daily collation of all Australian and international Research material published overnight ahead of a 7.30 a.m. meeting and sent to our entire internal/external database.
  • Support the Head of International Equities Division
  • Co-ordinating all travel locally / internationally from flights, accommodation, meetings & cars for my team.
  • Setting up Research Analyst Marketing schedules.
  • Liaising with Corporate Access on setting up Schedules, Events, Non-Deal Roadshows, and Conference calls (within in-house database).
  • Working with Marketing on revamping all our daily Research Market Communication from IED to our clients.
  • Being the point of contact for international guests heading to Sydney who deal with the International Equities Division.
  • Reconciliation of the monthly Amex

Experience:

  • Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint)
  • 5+ years Investment Banking or financial services support experience, executive‐level support preferred
  • Concur or similar experience processing travel and expenses
  • Need to be resilient, confident and able to work in a fast paced environment
  •  Strong attention to detail, ability to work effectively under pressure and with time constraints
  • Polished and professional phone and email communications
  • Significant time management, organisation, multi‐tasking and prioritisation skills
  • Exemplary demonstrated work ethic
  • Ability to learn quickly and take on new responsibilities
